Privacy policy
Last updated: April 20, 2026. This policy explains what Rindee collects, how we use it, and the choices you have. Because Rindee is an AI calling service, we take particular care with call recordings and transcripts.
Information we collect
We collect the information you give us directly and the information generated when you use the Service:
- Account information: name, email, business name, password hash, and the settings you configure for your organization.
- Contact & calendar data: customer names, phone numbers, notes, appointment times, and other data you upload or create inside the Service.
- Call content: audio recordings and machine-generated transcripts of calls placed or received through the Service, where recording is enabled.
- Telephony metadata: caller and callee numbers, timestamps, call duration, carrier identifiers, and billable usage.
- Payment & billing information: handled by our payment processors (Stripe, Polar). We receive transaction identifiers and top-up amounts; we do not store full card numbers.
- Technical usage data: IP address, device and browser information, and interaction logs needed to operate, secure, and improve the Service.
How we use your information
We use the information we collect to:
- provide, maintain, and improve the Service — including routing calls, generating AI responses, booking appointments, and sending reminders
- process top-ups, meter usage, and reconcile billing
- send transactional messages (account alerts, billing receipts, product updates) and respond to support requests
- monitor, detect, and prevent abuse, fraud, and security incidents
- comply with legal obligations and enforce our Terms of Service
We do not sell your personal information, and we do not use your call recordings or contact lists to train public AI models outside what is strictly required to deliver your own calls.
Call recordings & transcripts
Where you enable call recording, audio and AI-generated transcripts of calls are stored in your account and retained according to the settings you configure. You are responsible for obtaining any consent required in the jurisdictions where you or your callers are located, including any two-party-consent laws.
You can delete individual recordings or transcripts from your account at any time. Deletion from live storage is immediate; residual copies in encrypted backups are rotated out within the backup retention window.
Data security
We implement technical and organizational measures to protect your data, including:
- encryption of data in transit (TLS) and at rest for call recordings, transcripts, and account data
- role-based access controls and audit logging for internal access
- infrastructure hardening, monitored uptime, and routine backups
- ongoing review of dependencies and security advisories
No system is perfectly secure. If a breach affects your personal information, we will notify you without undue delay and in line with applicable law.
Your rights
Subject to the laws that apply to you, you have the right to:
- access and update your personal information from your account settings
- request a portable export of your account data
- request deletion of your account and associated data
- opt out of non-essential communications
- withdraw any consent you previously gave for optional data processing

Retention
We retain account information for as long as your account is active. When you close your account, we delete or anonymize personal data within a reasonable period, except where a longer retention is required by law (for example, billing records) or is necessary to resolve disputes and enforce our agreements.
Children
Rindee is a business tool not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact [email protected] and we will take appropriate action.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "Last updated" date above. Material changes will also be highlighted in the Service or by email.
