Privacy policy

We collect the information you give us directly and the information generated when you use the Service:

• Account information: name, phone number, business name, password hash, and the settings you configure for your organization. Your phone number is your sign-in identifier and the number we send verification codes to. If you sign in with Google or LINE, we also store the email address, display name and profile picture that provider returns.
• Contact & calendar data: customer names, phone numbers, notes, appointment times, and other data you upload or create inside the Service.
• Call content: audio recordings and machine-generated transcripts of calls placed or received through the Service, where recording is enabled.
• Telephony metadata: caller and callee numbers, timestamps, call duration, carrier identifiers, and billable usage.
• Payment & billing information: card payments are handled by our payment processor (Stripe). We receive transaction identifiers and top-up amounts; we do not store full card numbers. Where you top up with cryptocurrency, we store the deposit address assigned to your organization and the on-chain transactions that fund it.
• Technical usage data: IP address, device and browser information, and interaction logs needed to operate, secure, and improve the Service.

We use the information we collect to:

• provide, maintain, and improve the Service — including routing calls, generating AI responses, booking appointments, and sending reminders
• process top-ups, meter usage, and reconcile billing
• send transactional messages (account alerts, billing receipts, product updates) and respond to support requests
• monitor, detect, and prevent abuse, fraud, and security incidents
• comply with legal obligations and enforce our Terms of Service

We do not sell your personal information, and we do not use your call recordings or contact lists to train public AI models outside what is strictly required to deliver your own calls.

Text messages. We send text messages to the phone number on your account: sign-in and verification codes, account and billing alerts, and messages from our team about your account. You agree to receive them when you request a verification code or create an account. Message frequency varies, and message and data rates may apply. Reply STOP to any of our messages to stop receiving texts from that number, or email hello@rindee.ai for help.

Where you enable call recording, audio and AI-generated transcripts of calls are stored in your account. Each agent has a setting that controls whether call audio is kept at all; when it is switched off, no recording is stored and only the transcript remains. You are responsible for obtaining any consent required in the jurisdictions where you or your callers are located, including any two-party-consent laws.

You can delete a call's recording on its own, or delete the whole call record — recording, transcript and summary — at any time. Deleting a recording removes the audio from storage permanently; neither the audio nor the transcript can be recovered afterwards. A minimal billing record of the call, such as its time, duration and cost, is kept as described under Retention.

We do not sell or trade your personal information. We share it only in these limited cases:

• Service providers we use to run the platform — including cloud hosting, logging, analytics, payment processors, and telephony carriers — under contracts that restrict their use of your data to providing those services.
• AI and speech-processing providers — the speech-to-text, text-to-speech, and language-model services that process call audio and transcripts in order to understand callers and generate your agent's replies. Where you connect your own provider account, that provider receives the data under your agreement with them.
• Legal requests where we are required to disclose information by applicable law, court order, or government demand we reasonably believe is valid.
• Business transfers in connection with a merger, acquisition, or sale of assets — with notice to you and continuity of protections.
• Your instruction — for example, when you connect a third-party integration from your dashboard, or connect an AI app such as ChatGPT or Claude to your account. A connected AI app receives the data its requests ask for, such as calls with their transcripts, contacts, appointments and agents, only within the access you approve when connecting it. It handles that data under its provider's own terms and privacy policy. You can see and disconnect connected AI apps at any time under Integrations, Connected apps.

Text messaging. We do not share your mobile number or your consent to receive text messages with any third party for its marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We implement technical and organizational measures to protect your data, including:

• encryption of data in transit (TLS), and encryption at rest for call recordings and backups
• role-based access controls
• infrastructure hardening, monitored uptime, and routine backups
• ongoing review of dependencies and security advisories

No system is perfectly secure. If a breach affects your personal information, we will notify you without undue delay and in line with applicable law.

Subject to the laws that apply to you, you have the right to:

• access your personal information, and update your name, from your account settings
• request a portable export of your account data
• request deletion of your account and associated data
• opt out of non-essential communications
• withdraw any consent you previously gave for optional data processing

To exercise these rights, contact us at privacy@rindee.ai. We may need to verify your identity before acting on a request.

We use strictly necessary cookies to keep you signed in and a small number of analytics events to understand how the Service is used in aggregate. Analytics cookies are set only if you accept them in the cookie banner. We do not use advertising cookies or cross-site tracking. You can control cookies through your browser settings.

We retain account information for as long as your account is active. When you close your account, we delete or anonymize personal data within a reasonable period, except where a longer retention is required by law (for example, billing records) or is necessary to resolve disputes and enforce our agreements.

Rindee is a business tool not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact privacy@rindee.ai and we will take appropriate action.

We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "Last updated" date above. Material changes will also be highlighted in the Service or by email.
